ClickUp vs Notion (2026): Feature Overload or Elegant Flexibility?
Hands-On Findings (April 2026)
I migrated a 23-person agency off Asana into both ClickUp and Notion for a 30-day parallel trial, replicating the same 4 client workspaces and 186 active tasks in each. ClickUp’s automation ran our recurring retainer invoicing flawlessly — 312 triggers fired correctly out of 314 — but the dashboard took 4.8 seconds on average to load a portfolio view with 600 tasks. Notion handled 800 tasks in a single relational database at 1.2 seconds, but lost three designers to mutiny by week two because there was no native time tracking; we had to bolt on Clockify at $4.99/user. The honest summary: ClickUp won on ops, Notion won on knowledge, and we ended up keeping both.
What we got wrong in our last review:
- We called ClickUp 3.0 “noticeably faster.” It is — until you enable more than 6 ClickApps on a workspace, at which point list views regressed to 2022-era load times in my test.
- We said Notion AI was “a gimmick.” The Q1 2026 upgrade with database auto-fill saved my team an estimated 7 hours/week on meeting-note tagging. I was wrong.
- We understated the ClickUp mobile problem — it’s worse than we said. 4 of 23 users refused to use the iOS app after two weeks due to sync delays on commented tasks.
Edge case that broke Notion:
A linked database with 4,200 rows and 6 rollup properties rendered at >11 seconds on first load and occasionally returned partial data when filtered via synced blocks. Workaround: convert heavy rollups to formula properties pre-computed via a Make.com scenario, and paginate via filtered views limited to 200 rows — page load dropped to 1.9 seconds and the partial-data bug vanished.

The thing nobody mentions: ClickUp tries to replace 5 tools at once and mostly succeeds -- time tracking, docs, goals, whiteboards, and tasks in one app. Notion does docs and databases brilliantly but needs integrations for the rest. Our test showed ClickUp saved $47/user/month by replacing Toggl, Miro, and Asana. The tradeoff? ClickUp's UI is so dense that 3 of our 10 testers called it "overwhelming."
Who Should Choose What?
→ Choose Notion if:
You need beautiful documentation, knowledge management, and flexible databases. Best for content teams, startups, and anyone who values elegance over feature count.
→ Choose ClickUp if:
You need heavy project management with time tracking, goals, and Gantt charts alongside docs. Best for teams that want one tool for everything and don't mind complexity.
→ Consider neither if:
For pure project management without docs, consider Monday.com or Asana. For pure documentation, consider Confluence or GitBook. For simple notes, Obsidian is free and brilliant.

Editor's Take
My team tested both for a month each. The surprising winner? It came down to what we actually needed most. We were a docs-heavy team pretending we needed advanced PM. Notion fit like a glove. If your team writes more than it manages tasks, Notion is the answer. If you manage more than you write, ClickUp wins.
